A USB stick exists to carry data, so a drive handed out empty is only doing half its job. Pre-loading turns a piece of branded merchandise into a delivery mechanism for your actual sales material, and the commercial case is stronger than most buyers expect. A single 4GB drive can carry the equivalent of thousands of printed pages: for exhibitions, that means one small box of drives replaces pallets of brochures, along with the print bill, the courier costs and the stand storage problem that comes with them. How Our Data Loading Process Works
The process is deliberately simple, because most data loading problems are avoidable with a little structure at the start.
- Send us your files. Anything under 10MB can be emailed directly to the account manager handling your order. For larger files, use a free transfer service such as WeTransfer or Dropbox and send us the download link. If your files are already on a master USB stick or hard drive, you can post that to us instead - useful for large video files where you want no loss of quality in transfer.
- Structure the folder as the recipient should see it. Send everything in a single compressed folder (.zip or .rar), organised exactly as you want it to appear when the drive is opened. Name the folders and files properly: "USB_final_v3_JS_edit(2).pdf" survives duplication perfectly, and looks exactly that untidy on ten thousand drives.
- Approve the data check. Before anything is duplicated, we send you a data check confirming the files, folder structure and total size, alongside your artwork proof. Nothing is loaded until you have confirmed it is the final version - the single most common issue in data loading is not corruption but the wrong revision of a file being supplied, and this step catches it.
- Duplication and verification. Your files are copied to every drive using professional duplication equipment that verifies each copy against the master, so the drive that reaches your customer carries an exact, working replica of what you approved.

Data Locking, Partitioning and Volume Labelling
Three optional extras are worth understanding before you order, because two of them can only be applied during manufacture.
Data Locking
A standard data load can be deleted by the recipient - and usually will be, eventually, because people reuse USB sticks. Data locking prevents that. The drive's memory is partitioned into two sections during manufacture: your files sit in a protected, read-only partition that cannot be deleted or altered, while the remaining memory is left free for the recipient to use as their own. Your catalogue is still on the drive in three years' time, sitting alongside their holiday photos.
The trade-offs are straightforward. Locked data must be final and supplied at the point of ordering, because the partition is created during production, not after. And the protected section permanently reduces the free space available to the user, so it suits a lean set of essential files rather than your entire document library. For most promotional campaigns we suggest locking the core sales documents and leaving the bulk of the drive free - the free space is a large part of why the drive gets kept.
Volume Labelling
By default, a USB stick appears on the recipient's computer as "Removable Disk" or similar. Volume labelling replaces that with your company or campaign name, so every time the drive is plugged in, your brand appears in the file window before a single file is opened. It costs little, takes seconds to specify, and is one of the most overlooked branding touches on a promotional drive. Keep it short - drive labels are limited to eleven characters on most standard formats, so "USBMAKERS" works and "USB Makers International Limited" does not.
Web Shortcuts
A simple link file on the drive that opens your website, booking page or video channel in the recipient's browser. Unlike the intrusive autorun files of the early promotional USB era - which launched themselves uninvited and irritated everyone - a labelled shortcut leaves the recipient in control, which is precisely why it gets clicked.
How Much Memory Does Your Data Need?
Buyers frequently over-specify memory for data loading. If the drive exists to carry a press pack and a video, a modest capacity does the job and saves meaningful budget at volume - the chart below shows roughly what each capacity holds. If recipients will use the drive for their own files afterwards (which is the aim), 4GB to 8GB has become the comfortable standard for promotional orders.

Note that actual usable storage is typically 90-98 per cent of the advertised capacity, which is normal across all flash memory. Two further technical points save buyers a support headache later. First, standard drives are formatted FAT32, which cannot hold any single file larger than 4GB - relevant if you are loading long-form video. Tell us if any individual file exceeds 4GB and we will format the drives to exFAT instead. Will the Drives Work on Mac and Windows?
Yes. Drives are supplied in a format readable and writable on both Windows and macOS as standard, which matters more than most buyers realise - hand pre-loaded drives out at a design conference or to photography clients and a large share of recipients will be on Macs. If your files include software, it is worth remembering that the installer itself is platform-specific even though the drive is not, so include both versions or a clearly named link to your download page.
When Do You Need My Files?
That depends on the service. Locked or partitioned data must be supplied and approved when you place the order, because the protection is applied during manufacture. A standard data load is more forgiving: if your presentation is still being argued over by the board, we can often load files closer to the delivery date, after production. Tell your account manager the honest position at the start - a realistic plan built around late files beats a fictional one built around finished ones.
Data loading on standard lead times adds little or nothing to delivery. On urgent jobs, our express USB service can brand and data-load drives from UK-held stock on significantly compressed timescales - conference organisers with a keynote next week are a regular feature of our production schedule.
Loading Sensitive or Confidential Data
A promotional data load is, by design, open for anyone to read - appropriate for marketing material, entirely inappropriate for anything confidential. If your drives will carry client records, patient information, financial data or anything covered by data protection obligations, use hardware-encrypted drives instead: our SafeToGo encrypted USB sticks are password-protected and encrypted at the hardware level, and can still be branded with your logo. We will tell you plainly if the data you describe belongs on an encrypted drive rather than a standard one.
