The best exhibition stands do not give everyone the same thing. Plan in three tiers: a value USB stick in volume for footfall, a mid-range product for real conversations, and a premium gift kept off the counter for booked meetings and existing clients. That way your best product reaches the people who make the buying decision.
Sponsoring an event usually means co-branded artwork. Tell us how many versions you need, whether an event lock-up, a sponsor pairing or one per partner, and each gets its own free visual proof before production. If you exhibit every year, the next order starts from this year’s specification.
Conference organisers buy in segments: hundreds of delegate packs, a few dozen speaker and sponsor gifts, a crew kit, and content that must be on the drives before the doors open. Each can be a different product at a different tier, itemised separately on one quotation.
Think about how each item is handed out: registration handouts must be quick to pick up, seat drops must survive handling, mailers must post flat. Tell us how each segment will be distributed and where it must arrive, and we will confirm packing, labelling and delivery before you commit.
Event agencies need options, not a single answer: two or three products at different budget levels, quantity breaks, client-ready proofs and a schedule with room for client approval. Tell us the brief is for a client and we will structure the quotation so you can pass it straight on.
If the brief is confidential, covers an unannounced launch or needs deliveries that do not name the supplier, tell us when you enquire and we will confirm what we can do, plus the terms available to agency accounts. Custom and sourced products are quoted with tooling and lead times up front.
The event date is not the delivery date. Start from the day the order must be in your hands and work backwards: product choice, quotation approval, print-ready artwork, proof sign-off, production, pre-loading, packing, transit and the venue’s receiving window. International orders need extra time for customs.
Production only starts once artwork, proof and order are approved, and despatch and transit add time on top. Express production is available on selected styles, subject to stock, quantity, branding method and destination, with cut-offs confirmed at quotation. Give us both dates, with some contingency between them, and we will build the schedule around them.
Check the connector before anything is printed. Standard USB sticks are USB-A, many newer laptops, tablets and phones only take USB-C, and the dual-interface drives above cover both without an adaptor. For charging products, multi-connector cables suit mixed devices and wireless chargers only suit compatible phones.
Then check policy. Many corporate and public-sector organisations block unknown USB drives on work devices, and a product nobody can plug in is wasted budget. For locked-down audiences, branded cables, wireless chargers and power banks do the job instead. Never load attendee lists, lead data or embargoed launch content onto giveaway drives. If you need encrypted drives, talk to us directly.

Optional data locking stops files being deleted or altered. Send final files organised the way recipients should see them, in formats their devices can open, and keep your originals.
Two rules. Never send attendee lists, personal data, confidential client material or embargoed launch content for pre-loading, and never attach them to a quote form. And our drives ship without autorun of any kind, so recipients open the content themselves, which is exactly what their IT departments expect.
Match the packaging to the hand-out. Stand giveaways work best unboxed or in slim card wallets, posted follow-up and press kits need boxes that mail flat, and speaker, sponsor and VIP gifts deserve a presentation tin, magnetic box or engraved wooden box, with selected options from 5 units. Bulky packaging slows a busy stand and adds freight, so save it for the gifts that warrant it.
Tell us how each segment will be distributed and how it must arrive, and we will pair each product with packaging that fits the journey, including the packaging rules that apply to power banks.
Total attendance is the wrong number to order against. Work from the visitors your stand can actually talk to, the delegates who will take a pack, the meetings in the diary and the follow-up campaign, then add contingency. Ask for several quantity breaks in one quotation: value for broad distribution, mid-range for qualified contacts, premium for the short VIP list. Leftover stock is not wasted if the artwork is generic enough for the next show.
Delivery to your office or a fulfilment partner is simple. Delivery to an exhibition venue needs more detail before despatch: hall and stand numbers, exhibitor reference, a named contact, receiving hours, labelling requirements, the move-in date and a back-up address. For a first enquiry, the city, country and rough route are enough.
International events add customs, duties and paperwork, which our international delivery page explains. Power banks are restricted for some destinations and courier services, and under UK aviation rules from March 2026 they travel in cabin baggage only, at most two per passenger and up to 100Wh without airline approval. Worth telling delegates who will fly home with your gift.
A good event product is one people still use after the show: the right connector, a capacity that suits the content, packaging that suits the hand-out and quantities tiered so the best products go where they count.
