Selling the product, making it conditional on a donation or promoting it with a commercial partner each bring their own checks, so tell us up front. We look after the physical side: the right quantity, packaging that survives an event and delivery planned around the date that cannot move.
Branded USB sticks for volunteers, staff and partners cover recruitment packs, onboarding and training resources, trustee and funder briefings, conferences and multi-branch programmes. Check IT policy first: many charity and partner devices block removable media, and a branded charging cable carries a team kit without raising the question. Training content can be pre-loaded once it is final and approved; rotas, volunteer records and board papers never belong on a promotional drive. Branch and partner versions are quoted as variants of one order.
Money changes the rules. A fixed price for a branded USB stick is a sale, not a donation. An item given because someone donated may be a donor benefit, which can affect Gift Aid, so ask your tax adviser. Selling bought-in merchandise can raise trading and VAT questions, and some charities sell through a trading subsidiary, so confirm the buying entity before we quote. A promotion where a company advertises that sales benefit your charity needs a written agreement, and prizes and raffles have their own rules. None of this stops the project; your advisers go first, then we quote the product.
The people your charity serves are not marketing assets. We will not produce artwork that uses distress, stereotypes or crisis imagery to sell, and we only use real stories or photographs where your charity confirms documented, informed permission, donors, volunteers and staff included. Generated imagery is never presented as a real beneficiary or campaign. Projects for children or adults at risk need an extra check on age suitability, small parts and your safeguarding sign-off. Please do not send details about individuals through a public form.
Your IT and data-protection policies decide which USB product you can use. Where removable media is allowed, standard drives carry public content. Where it is blocked or unclear, choose a non-storage product or point people to web and print versions. Where only approved or encrypted devices are allowed, involve your IT lead before you order. Plan accessible formats around the people you serve: keep an online version available where practical, supply well-structured documents, and add Easy Read, large print, audio, captions, transcripts, BSL, Braille, Welsh or other language versions where your audience needs them. We load the tested, approved files you supply and organise them clearly on the drive; we do not create, remediate or certify documents. Never ask an individual for their diagnosis to decide a format.
Charity names, logos, registration details, campaign identities and partner marks are reproduced only from artwork you are authorised to supply, with written permission where your rules require it, and co-branding needs permission from every rights holder. Free visual proofs let the people who control your brand approve exactly what will be printed. Surplus stock with out-of-date content is the most avoidable waste here, and a smaller order is easy to repeat when demand proves itself.
Work backwards from the date that cannot move, through delivery, production, pre-loading and proofs, and before all of that your own approvals: budget sign-off, any fundraising or retail review, artwork permission and IT checks. Express production is available on selected styles, with eligibility and cut-offs confirmed at quotation; treat it as a safety net rather than a plan. Multi-branch programmes can be delivered with quantities per site and labelled cartons where confirmed. Product documentation, including specifications, conformity and battery paperwork where relevant, is available on request for the exact product quoted. We name standards and materials only where we hold current product-level evidence, and we make environmental claims at product level or not at all. No charity ribbons, regulator marks or impact statistics here. We will also recommend the smaller quantity, simpler packaging or a non-storage product when that is what the job needs.
